Campus do Mar eMeeting service is a web application which offers multi-conference services in a simple way with the maximum number of available options. For that purpose a nice and intuitive interface was created. This interface allows any user to use the application from the very first moment.
What is an “eMeeting”? “eMeeting” are multi-videoconference rooms that each user creates to host his or her meetings.
What is a "Description"? "Description" makes reference to the comments that each host user note on each created eMeeting. It is very useful to describe the content of the eMeeting.
What is a "Nick Name"? "Nick Name" is the alternative name that each user can show on each eMeeting.
What is "Permission"? "Permission" field adjusts each eMeeting’s permissions. You can choose public, shared or private. It offers different ways to access the eMeeting. It is more described on the section public eMeeting or private eMeeting.
What is a "host"? “Host” is the eMeeting creator. The host user has privileges on the room that other users of the created eMeeting do not have such as record, delete or disable the meeting temporary.
¿What is a "presenter"? “Presenter” is a user which can speak and participate in the meeting. This user cannot delete, record or disable eMeetings.
What is a "participant"? "Participant" makes reference to the user with fewer privileges on the eMeetings. This user cannot record or participate in the eMeeting, he or she can just see eMeetings presenters and hosts.
How to use eMeeting
From DigiMar platform on the WebConference Service section or typing http://emeeting.campusdomar.es/ on the browser, you will have access to the application login form where your user and password will be required.
Below there is a picture of the application start window indicating where the eMeeting creation button is.
In order to create a new eMeeting press the button +eMeetings located on the right top of the screen and a form with the required fields for the eMeeting creation will be displayed: title and user nick name, public, shared or private option and an optional description. Finally, press Create button.
Created eMeetings or those eMeeting of which you have been invited will be listed on the main user page. You can see the title, the description and different URLs to invite more users depending on whether the eMeeting is public, shared or private.
+Invite DigiMar Partners button allows inviting users from DigiMar database to your eMeeting.
Clicking on the Join button located on the right of the title of the eMeeting, you can access the eMeeting and start the multivideoconference.
Links to invite users to eMeetings:
eMeeting public, shared or private option provides different URL with different privileges for users that you want to invite to your eMeetings.
Users invited from this type of eMeeting URL will have presenter privileges when a host is in the meeting. Any external user (from DigiMar) has access to the eMeeting, being accessible from a simple URL: http://emeetings.campusdomar.es/room/"eMeeting name".
Here there are two types of URL: Presenter Access, which offers access to all type of users (DigiMar external and internal) with presenter privileges and Limited Access which offers limited privileges, since users will access the eMeeting as participants.
This room is not accessible from the URL: http://emeetings.campusdomar.es/room/"eMeeting name" unlike public eMeetings.
Available URLs in the private eMeetings can be regenerated as many times as is needed. This allows avoiding URL-invited users to access the eMeeting with the old URL. New generated URLs must be sent to all participants, even those invited with the old URLs since this old URLs will be totally eliminated from the system. This option is not reversible, so old URLs cannot be restored since the moment in which you accept the action of creating new URLs.
Users invited from this type of eMeeting URL will have presenter privileges just entering in the meeting, this will be independent of a host can be in the room. In this way the users can share camera and audio without there will be a host in the meeting.
Close to the links appear several icons which allow making actions about eMeetings.
eMeeting new URL access icon:
With this icon you can generate a new URL access to eMeeting. This icon acts individually for each URL, so that if presenter access URL is changed, limited access URL is not changed.
Icon to invite external users:
When clicking on this icon a window will be displayed. This window presents a text that can be sent by e-mail from your usual account. This text contains instructions for users to access eMeeting.
If you mouse over this icon an overlay window will appear on screen with instructions about how to use the closer functionality to the icon.
Administrators will be able to give privileges to some rooms so that they use a collection of available rooms exclusively to provide service to this magic eMeetings if necessary. This way magic eMeetings will always have an available room even the service is saturated.
+ Invite Partners Button
This button allows selecting DigiMar users from a drop-down list to invite them to the eMeeting.
Right Thumb Buttons:
Information and available options about each eMeeting is shown. Deactivated buttons mean that eMeeting does not belong to you, so that options can be just made by eMeeting owner.
This option offers the possibility of disabling the eMeeting without deleting it, so that any user can access the eMeeting from any available URL or their user account.
An eMeeting can be deleted and its possible recordings will be stored. It is possible to visualize those recordings from the All Recordings button.
A window which allows accessing already finished eMeeting recordings.
The URL on the top of the pop-up window belongs to the recording list. People who receive this URL can see recordings. These recordings will have a color according to the status which is described below. If the recording is blocked does not figure on this list.
The list will be as follows:
These recordings can be blocked (title on grey color) or privatized (title on red color) by the eMeeting creator so that users can access just to not blocked recordings (title on green color) or users must login with their user and password to access to private recordings. Each recording title can be edited with the button which appears with the pencil icon and on its right side there are buttons to change the previously described status. Moreover, when recording status is public URL to access each recording will be just shown to users which are not owners of the meeting.
Change Nick Name:
This option offers the possibility of changing the name with which you appear on the eMeeting.
Information about the eMeeting:
Close to the buttons there is basic information about the eMeeting: creation data, eMeeting type (public, shared or private) and
the number of participants from DigiMar who will have access to the eMeeting.
They provide access to user elements.
From this displayed window you access the history of all eMeetings and recordings. It is listed in descending order according to the creation data. You can access the ordered eMeetings by year or month on the dropdown list located on the left top of the same window.
This dropdown list offers information about available eMeetings and recordings on each month to provide an easy access to months with major activity.
Adobe Connect Test:
Displayed window runs a connection test over Campus do Mar Adobe Connect server. This way you can check whether the multivideoconference service is available in a quick and easy way.
